Executive Assistant / Office Manager
West | Houston, TX, $110-120K
Ground floor opportunity in west Houston for an Executive Assistant / Office Manager. This position will serve as the sole administrative support in a small office of a rapidly growing energy transition firm.
Responsibilities will include:
Executive Support
- Provide comprehensive administrative support to the CEO, CFO and one additional executive.
- Manage executive calendars, including scheduling meetings and appointments.
- Prepare and draft correspondence such as letters, emails, memos, and reports as needed.
- Coordinate and assist with executive travel plans (domestic and international), including booking flights, hotels, car services, creating itineraries, and making restaurant reservations.
- Assist with preparing and organizing meeting agendas and materials; take detailed meeting notes, summarize key takeaways, and track action items.
- Prioritize meeting requests and coordinate with other team members, clients, and partners to ensure effective time management.
- Manage logistics for internal and external meetings, including setting up conference rooms, ensuring all necessary meeting materials are available, and coordinating meeting requests.
- Handle any technical issues with audiovisual equipment, ensuring all technology is set up correctly for meetings; provide any required technical support during meetings or events.
- Update and maintain contact information, databases, and address books; organize and track important documents, contacts, and company data for easy retrieval.
Office Management
- Serve as the primary contact for any tech-related issues, troubleshooting minor issues directly or working with third-party vendors as needed; coordinate with IT support services for any hardware or software malfunctions to ensure timely resolutions.
- Order office supplies, stock the kitchen, and ensure all necessary materials are available.
- Interface with building management for facility-related needs and coordinate any maintenance or repairs.
- Organize office space and ensure the office remains tidy, welcoming, and well-stocked.
- Assist with basic accounting tasks such as invoice tracking and bill payment (if required).
- Coordinate with the finance team to ensure timely processing of payments and tracking of expenses.
- Assist with the onboarding process for new hires, ensuring all necessary paperwork and company procedures are followed.
- Interface with third-party benefits providers, ensuring that employees have necessary access to benefits and resources.
Requirements:
- 7+ years’ experience in an Executive Assistant / Office Management role in a start-up and/or rapidly growing company.
- Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
- Excellent communication skills, written and verbal, along with strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving abilities and the ability to anticipate needs and act proactively.
- Familiarity with basic IT troubleshooting and working with third-party tech vendors.
