Personal / Executive Assistant

High-net worth financial services executive (Founder) with a small office in Houston’s Galleria area is in search of a Personal / Executive Assistant. The position is estimated to be 70% personal work, 30% business. The ideal candidate will be self-directed and comfortable often working alone or with one other in a business office. An essential requirement is on-call availability after hours and during major holidays for routine tasks while the executive is traveling.
Personal tasks include:
- Arrange rental cars, hotels, restaurants, and flights
- Arrange charter airplane travel for trips when executive’s private plane is not suitable
- Heavy international and domestic travel coordination
- Be on call to manage schedule changes mid-travel
- Open mail and pay personal bills
- Oversee maintenance and repair coordination at executive’s River Oaks residence, including supervising vendors (landscapers, pool maintenance, etc.)
- Assist with private events and parties, including logistics and planning
- Maintain Christmas card list and send cards out during the holidays
- Handle personal errands, such as picking up prescriptions or taking the car for a wash
Business office tasks include:
- Run payroll for the firm through ADP (basic task, training available)
- Collect vendor invoices and create checks for the executive to sign
- Manage vendor costs and check for reasonability; protect the firm against being overcharged
- Log invoices and checks into QuickBooks (basic tasks, training can be provided if not familiar)
- Stock office with office supplies, food, and drinks
- Pick up breakfast/lunch/coffee likely one day per week
- Track company airplane, maintain flight records, and invoice for executive’s flight time
- Buy swag for company’s investors, monogram, and mail to investors
- Event planning for investor events: setting up travel, caterers, event space, florists, entertainment, and guest speakers.
Requirements:
- Personal assistant experience for a HNW / UHNW executive, preferably within a small, private office
- Proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint)
- Strong organizational skills and attention to detail
- High level of discretion and integrity, handling confidential information with trust and professionalism
- Ability to multitask and manage a diverse set of responsibilities
Flexible work schedule, generally four days per week in the office (8am-4pm) with one day WFH. Health insurance is paid 100% for employee and family, paid mileage, 3 weeks PTO, and annual bonus offered.
