Receptionist / Front Office Administrator

Well-established downtown private equity firm seeks Receptionist / Front Office Administrator for a newly created position. Along with a professional disposition and positive attitude, the role requires the ability to follow established procedures while remaining flexible in a fast-paced environment, managing multiple conference rooms, welcoming visitors, keeping track of updates, and ensuring catering and AV needs are properly assigned.
Responsibilities:
- Managing front desk, serving as the first point of contact by greeting, welcoming and directing guests to the appropriate conference room
- Providing administrative support, including scheduling multiple conference rooms, managing parking log and multiple calendars, responding to voicemail, and processing expense reports
- Performing essential tasks such as data entry, sorting mail, receiving and organizing incoming packages
- Ensuring common areas such as reception, conference rooms, and kitchen are tidy, organized and well-stocked. Managing and restocking supplies, operating the dishwasher, overseeing upkeep of coffee machine, and coordinating servicing of kitchen equipment
- Ordering and picking up lunches; setting up for meetings, troubleshooting AV needs, and ordering catering as needed
- Printing and binding books
- Potentially may oversee high school intern(s)
Requirements:
- Similar Receptionist / front office services experience in a traditional corporate setting
- Proficient in Microsoft Office Suite
- Must have the ability to lift/move cases of beverages (water, soft drinks), boxed office supplies, etc.
Role works onsite with M-F hours: 8am – 5pm; no overtime. Business casual attire Monday – Thursday + jeans on Friday. Bonus eligible role offers medical benefits, paid parking (or bus pass), and two weeks’ vacation.
