Administrative Assistant
Downtown Houston, TX, $60-70K
Investment firm located in downtown Houston is adding an Administrative Assistant to its team. The position will be responsible for supporting a team of Associates and Analysts, along with providing backup support to the firm's Executive Assistants as needed.
Responsibilities will include:
- Handle planning logistics for domestic and international trips; provide detailed itineraries, agendas, directions, and backup materials
- Prepare expense reports in timely manner, ensuring accuracy
- Manage and monitor Executives’ calendars and anticipate where problems might arise regarding calendar, meeting preparation, needs of executives involved, and requests for meetings and telephone calls
- Schedule and coordinate meetings and Executive events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available, coordinate hospitality services as needed
Requirements:
- 1-3 years’ corporate or professional services industry experience supporting executives; college degree preferred but not required
- Strong travel arrangement experience highly desired
- Financial industry knowledge highly desirable, not required
- Excellent writing, editing, and verbal communication skills
- Proficient computer skills using Microsoft Office Suite: Word, Excel, PowerPoint and Outlook; knowledge of Concur Expense Solutions a plus
- Research savvy with extensive experience using online resources
- Superior time management skills; critical thinker with strong attention to detail
