Executive Assistant
Memorial City, Houston, TX, $85-100K+ DOE
Energy firm located in Houston's Memorial City area in search of an Executive Assistant to support the Chief Operating Officer.
Responsibilities will include:
- Manage the COO's extremely active calendar of meetings and appointments; expense reports; compose and prepare correspondence; arrange complex and detailed travel plans, itineraries, and agendas; and compile documents for meetings.
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the COO, including those of a highly confidential or critical nature.
- Serve as the COO administrative liaison for the Safety, Environment and Operations Committee of the Board of Directors
- Organize and coordinate executive meetings and external efforts, and participate in special projects.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
- Attend COO / Operational team meetings: takes, tracks, and ensures actions are completed
- Execute various processes for department, including organization and position management, utilizing Workday and SAP software suites for requests and information management as well as department moves and office planning
- Act as a liaison between the COO and other Senior Executives and their Assistants, including the CEO and CEO’s EA
- Lead the planning and organizing of events as required
- Assist in the selection of vendors; purchase equipment, services, and supplies necessary for the administrative services in the Houston office.
Requirements:
- A minimum of ten (10+) years' experience with increasing levels of responsibility within a corporate C-suite
- Expert level MS Office skills (PowerPoint, Excel, Word, Outlook)
- Experience supporting senior executives in a fast paced, dynamic environment
- Excellent communication skills, both written and verbal, with the capability to manage information and correspondence on multiple levels
- Strong attention to detail and accuracy, resourceful, able to solve problems and find solutions to meet department needs
- Proactive, takes initiative, and is creative at identifying process improvement opportunities
- Sound judgment and the ability to work independently with little direction
