Executive Assistant to CEO
Downtown Houston, TX, $DOE
Downtown Houston client in search of an Executive Assistant to support the CEO.
Responsibilities will include:
- Coordinate and prioritize CEO’s daily business activities
- Maintain and prioritize an action item list of all decisions, projects, milestones, meetings, follow-ups, phone calls and emails.
- Heavy email management - monitor CEO’s incoming and outgoing emails throughout day; respond as appropriate and flag issues needing immediate attention
- Prepare summary briefing materials for CEO before each meeting/call; attend meetings/calls as requested by CEO; prepare summary meeting notes/follow up items
- Maintain calendar and contact database - coordinate with CEO on meeting and phone call requests and actively maintain his calendar; anticipate conflicts and rearrange meetings and phone calls as necessary; regularly update contact database
- Coordinate travel to include air, hotel, car service, restaurant reservations, etc.
- Expense reporting
- Schedule Board meeting meetings; plan Partner retreats, Board retreats, and other special events as requested
Requirements:
- Extensive C-suite experience supporting a HNW / UHNW executive
- Overtime ebbs and flows; availability outside work hours necessary
- High level or detail and organization; ability to think ahead and anticipate
- Ability to read and succinctly summarize large quantities of information
- Highly level of tech savvy and latest tech products / best practices; excellent proficiency with Microsoft Office Suite
