Executive Assistant to CEO

Small Galleria area energy firm seeks Executive Assistant to support the CEO, play a key role in enhancing productivity of CEO and senior leadership, while fostering meaningful connections across the company. Position offers a variety of administrative, operational and executive support tasks. Along with maintaining discretion, and thriving in a collaborative, fast-paced environment, must be able to translate requests and requirements into achievable goals and manage the process to ensure objectives are met.
The role is central, fun, and highly valued as it requires collaborating across the company and growth into a key voice in leadership.
Key Duties:
- Serve as primary point of contact and gatekeeper for CEO
- Maintain CEO's inbox and correspondence, flagging and addressing priority messages
- Manage daily activities, schedules, anticipate needs, and prevent conflicts; high volume of work with fluctuating calendars requires prioritizing time-sensitive tasks and projects
- Coordinate domestic/international travel and prepare detailed itineraries, agendas, directions, and backup materials as needed
- Schedule and coordinate attendance and logistics for meetings, conferences, and internal events
- Greet visitors and ensure onsite meeting hospitality
- Prepare expense reports and assist in high-level project execution
- Support internal communications and special initiatives across departments
- Collaborate across teams with a helpful and humble approach
- Maintain discretion in handling sensitive information and operate with the utmost confidentiality
- Maintain organized filing systems, ensuring compliance with document retention policies.
- Support executive development through continuing education and training efforts
- Champion company culture through event planning for special events and coordinating volunteers
- Participate in appropriate continuing education or professional development classes to enhance job performance and gain or improve skills required for position
Requirements
- Three plus years’ experience in a similar role; college degree preferred
- Energy industry preferred
- Excellent writing, editing, and verbal communication skills
- Microsoft Office Suite: Word, Excel, PowerPoint and Outlook; able to quickly and accurately produce/edit Excel spreadsheets and PowerPoint presentations
- Superior time management skills; critical thinker with strong attention to detail
Hybrid role offers a flexible schedule 7am-4pm, 7:30pm-4:30pm or 8am-5pm working on-site four days a week with one day remote per week. Comprehensive benefits package.
