Executive Assistant, temp-to-hire
Downtown Houston, TX, $85-90K+
Prestigious private equity firm located in downtown Houston in search of an Executive Assistant for a newly created role to support 2 Principals and 2 Associates.
Responsibilities will include:
- Compose, draft, proof, edit, and finalize correspondence including e-mail and other documents
- Review incoming mail and/or email, prioritize and summarize content, and process replies on own initiative or from executives' notes and directives
- Handle planning logistics for domestic and international trips using the firm’s contracted travel agency; provide detailed itineraries, agendas, directions, and backup materials
- Prepare expense reports in timely manner ensuring accuracy and submit in accordance with firm policy
- Monitor executives’ calendars and anticipate where problems might arise regarding calendar, meeting preparation, needs of executives involved, requests for meetings and telephone calls; communicate potential and/or confirmed changes to involved parties
- Schedule and coordinate meetings and executive events, inform attendees of dates and time, reserve meeting space, ensure the appropriate equipment/materials are available, coordinate hospitality services as needed
Requirements:
- Five plus years’ experience supporting high profile executives; financial services industry experience highly desirable
- 4-year college degree preferred
- Excellent writing, editing, and verbal communication skills
- Strong experience within Microsoft Office Suite: Word, Excel, PowerPoint and Outlook; able to quickly and accurately produce/edit Excel spreadsheets and PowerPoint presentations
- Superior time management skills; critical thinker with strong attention to detail
Upscale work environment, breakfast and lunch provided daily via onsite chef, paid parking, and paid overtime. Work hours are 8am-4:30pm, M-F, with one WFH day per week.
